Before implementing an asset tracking system, the district lacked an accurate and automated way to track technology purchases and funding sources.
More than 15 years ago, SWMetro selected Wasp Asset to gain control over its assets. For many years, the district used the on-premise version successfully.
However, as their needs evolved, limitations became clear. The legacy on-premise system required local server access and allowed only one user to be logged in at a time. That slowed daily operations and limited flexibility, especially for remote work.
When support for the legacy version ended, the district had a decision to make: upgrade to a newer on-premise system or move to Wasp Asset – Cloud.
SWMetro chose Wasp Asset – Cloud for its centralized platform and multi-user accessibility. The cloud-based system allows authorized users to log in from anywhere, eliminating the access limitations of the previous setup.
The district’s goals for the transition were to improve ease of access, enable multiple users to work in the system at the same time, streamline device imports, ensure reliable support when needed, and eliminate the need for local backups in the event of server failure.
User-based custom views further improved how different team members interacted with the system.
To ensure a smooth migration, the district invested in Wasp’s data import service, which streamlined the transition to the cloud. The IT team also completed training with a Wasp software expert to get up to speed quickly.
Today, SWMetro’s IT team uses Wasp Asset – Cloud to track approximately 2,900 assets assigned to more than 250 users across 97 locations.
All technology purchases and specialized equipment are managed within the system, including items purchased through specific funding sources such as grants and awards. Assets tracked include laptops, desktops, servers, switches, access points, and firewalls.
The move to the cloud significantly improved accessibility and efficiency for the team.
