Before Wasp Asset, the school did not have an efficient check-in/check-out system for student IT devices and equipment.
Students signed out equipment on paper. IT staff entered each day’s transactions into their system manually. If an item was overdue, staff had to email students or track them down in person to retrieve it.

Today, the IT team uses barcode scanning to check assets in and out quickly. Overdue reports generate automatically. Reminder emails are sent to students and staff without manual follow-up, and those messages can be customized to match the school’s process.
Kathy Valenzuela, Technology Services Coordinator with Ursuline Academy of Dallas, says her favorite feature is the system alert that appears if a student already has an outstanding device checked out. This helps prevent duplicate assignments and keeps accountability clear.
The team completed training with a Wasp software expert to ensure a smooth rollout and strong adoption.
Today, the IT team tracks approximately 4,000 assets across 200 locations. Assets include computers, peripherals, displays, cameras, science lab devices, and other department-specific equipment managed under the IT budget.
Check-ins and check-outs happen in real-time. Overdue reports generate automatically. Reminder emails go out without staff having to track students down. The team has clear visibility into who has what and where it belongs.
